RESPONSIBILITIES: Specific responsibilities of the operational support specialist include, but may not be limited to:
Administration Support for Early Learning Team (80%):
Answer telephones adhering to guidelines of answering calls within four rings. Routes calls correctly and takes accurate messages when necessary.
Display excellent communication skills by articulating ideas and opinions in a clear, concise, and persuasive manner to families, children, and staff. Maintain positive, compassionate, and respectful working relationships with families and employees from a diverse cultural background.
Greets visitors, responding courteously and appropriately to all inquiries. Provide superior customer service to clients, visitors and staff. Monitor entry (open/close door), ensure visitor sign-in.
Support in staffing the office after regular business hours, following established guidelines for scheduling and communicating with staff.
Perform general clerical functions such as filing, memos, minutes, report preparation, printing, photocopying and data entry.
Provide administration support to managers/supervisors as needed. Support Early Learning staff as needed; this may include arranging meetings, formatting or drafting documents, organization support, developing or organizing materials, scheduling assessments, drafting month newsletter, coordinating field trips. Enter and organize data regarding clients, record attendance, USDA, order supplies, run errands, monitor health and safety, food prep and other programmatic checklists, etc.
Provide support to meetings including arranging logistics (space, food, fliers) and taking minutes when requested.
Provide site & facility support during service hours and emergency support for sites/classrooms.
Keep incompliance with all forms for the Early Learning Team.
Other duties maybe assigned.
CEO Assistant (20%):
Manages CEO calendar
Attends meetings and takes notes on behalf of CEO. Follows up and responds to email correspondence on behalf of CEO.
Trouble shooting technical issues
All facility maintenance and repair scheduling and communicate site concerns and/or repairs needed to the main office.
Managing substitute list and scheduling subs
Monitor and order education and site supplies, as needed, with supervisor/main site approval.
Professional development scheduling for teachers
AA or BA in ECE Degree (Highly desired but not required)
Valid Washington State driver’s license and daily access to a personal, legally licensed vehicle with proof of current automobile insurance or access to reliable. Have reliable transportation
Ability to work flexible schedule, including evenings and weekends as required.
Excellent computer proficiency and knowledge of basic office equipment.
Excellent in English and Somali oral and written communication skills (Preferred)
Excellent organizational and time management skills.
Department of Early Learning portable background check. Must pass portable background check requirements.
